Position Title: Practice Administrator

Job Description:

The Practice Administrator leads the administrative staff in an eight-provider gynecologic practice to fulfill Our Mission: our office offers women a health care experience based on nurturing, trust, and empowerment. Our Goal: is to promote not just good gynecologic health but full health in body, mind, and spirit. Our Aim: is to include our patient as an active participant in her/their own wellness. Together we can integrate complementary and alternative medicine with the best of evidence-based Western medicine to form a unique health plan for each patient.

Qualifications and Abilities:

  • The Practice Administrator's success can best be measured by ensuring that the administrative processes are running smoothly, thereby enabling the practice to achieve its Mission. As such:
  • Managing cash flows to remain positive to the greatest degree possible; reporting to government agencies no later than deadlines allow; adhering to all regulatory requirements; and keeping the building and all component and auxiliary systems functioning properly further this objective.
  • Developing budgets, monitoring expenditures, and performing daily, monthly, and annual financial management tasks.
  • Assisting with business planning and the improvement of administrative processes.
  • Acting as a liaison with outside parties such as UWHNC, especially Compliance; vendors; regulators and taxing authorities; banks; tenant(s); IT vendor; building maintenance tradespeople; and insurance companies.
  • Supervising and hiring administrative staff.
  • Documenting processes and maintaining records, including the necessary submissions to NCQA and BCBS for quality-related assessments.
  • Resolving administrative and operational problems including the maintenance of clinic property, computer systems and installed software applications.
  • Training administrative staff and conducting performance reviews.
  • Keeping informed of trends in practice administration and healthcare regulations.
  • Performing other administrative tasks as required.
  • Maintaining strict confidentiality.

Computer Skills:

To perform this job successfully, the individual should be proficient in Office 365, internet software of various types or the wherewithal to seek out the information to become proficient, and the Athena EMR (or be experienced technically to become quickly proficient with Athena.)

Education/Experience:

  • Four years financial/office management/accounting experience; proficient in QuickBooks.
  • 10 years in healthcare with a minimum of 5 years management.
  • EMR experience required, knowledge of Athena is helpful.
  • OBGYN experience preferred, but not required.
