Position Title:  Assistant Administrator

Organization:  Gastroenterology Associates of the Piedmont, P.A.

Location:  Winston Salem, NC

Job Description:

We are looking for an Assistant Administrator to perform a variety of administrative tasks and support our company's senior-level managers. The Assistant Administrator's responsibilities include assisting the CEO and other members of the executive management team with daily activities and projects, performing a variety of clerical duties, accounts payable functions, payroll responsibilities and coordinating building maintenance and repairs.

Qualifications:

  • Provides high-level administrative support to executive level.
  • Carries out work projects assigned by the CEO/administrator relative to the total clinic operation or to specific patient services.
  • Assists the CEO or accounting department with the financial responsibilities of the organization.
  • Responsible for accounts payable procedures including opening mail, entering invoices and properly coding expenses by account classification and department.
  • Ensures correct payments are made in a timely manner.
  • Ensures proper maintenance, filing, and storage of records in accordance with company policies and GAAP in case of audits.
  • Processes biweekly payroll and prepares necessary payroll reports.
  • Updates payroll records by entering changes in exemptions, insurance coverage, savings deductions, and job title and department/division transfers.
  • Maintains employee confidence and protects payroll operations by keeping information confidential.
  • Assist with onboarding of new employees and providers.
  • Record minutes from Board Meetings.
  • Picks up, sorts and delivers interdepartmental mail. Ensures timely distribution.
  • Monitors current inventory level of supplies and contacts appropriate vendors to secure bids and place orders. Confirms delivery, quality, and quantity of orders.
  • Coordinates and schedules maintenance and cleaning activities to ensure facilities are clean, safe, sanitary, and conducive to the delivery of quality patient care.
  • Manages, coordinates, and monitors all maintenance contracts with outside vendors.
  • Oversees performance and maintains records of cyclical maintenance projects.
  • Assists and coordinates on assigned building projects, including directing repair, construction, and renovation.
  • Must have thorough understanding of bookkeeping practices, general accounting principles and procedures.
  • High functioning knowledge of Excel including pivot tables, graphs and spreadsheet generation and database management.
  • Superior knowledge of Quickbooks.

Education:

  • College degree required. Bachelor's preferred.
  • Minimum two years of administrative experience, including one year with a health care organization.
